Frequently Asked Questions (FAQs)

What is a "Site License" or "concurrent users"?

A Site License allows any person from any of the supplied IP addresses to access MedAbbrev.com and perform searches without logging in. However the total number of people - ie. concurrent users - allowed to perform searches at the same time (within 10-15 minutes) is limited to the number of "seats" you purchased for the Site License. When you purchase a Site License, you purchase a specific number of Seats (or concurrent users) and you list which IP addresses from your organization will be used for access.

What is the difference between Site Licenses and User Licenses?

A Site License (as also described above) allows any person from any of the supplied IP addresses to access MedAbbrev.com and perform searches without logging in. However the total number of people allowed to perform searches at the same time (within 10-15 minutes) is limited to the number of "seats" you purchased for the Site License. When you purchase a Site License, you purchase a specified number of Seats and you list which IP addresses from your organization will be used for access.

A User License allows a person with a specific email address and password to access and use MedAbbrev.com. They must log in - supply their email address and password - in order to start using the site. No list of IP addresses is required for the user to log in or use the MedAbbrev.com.

Should I purchase a Site License or User Licenses?

If your organization has many people who would occasionally use MedAbbrev.com to perform searches, a Site License may be a good option for you.

If your organization has people who will likely use MedAbbrev.com frequently all day long, User Licenses may be a better option.

If you organization has both types of people, read the next FAQ...

Can I purchase both a Site License and User Licenses?

Yes. Your account can contain both a Site License with a specific number of seats (concurrent users) as well as any number of User Licenses.

People accessing MedAbbrev.com via a Site License (based on their IP address), will be automatically logged in, but they will share access with others who visit MedAbbrev.com on the same IP addresses associated with your account. The means that there may be times when more people that Seats are trying to use MedAbbrev.com at the same time and additional people will be shown a message saying they will have to wait for 10-15 minutes before performing searches. (If this message appears too often, we recommend you increase the number of Seats by adding more Seats to your Site License or moving Seats from another Location.)

People who log in to MedAbbrev.com using their email and password are using a User License that is dedicated to them. They will have continuous access as long as they are logged in (they don't have to share access as do people using a Site License). A User may only be logged into one device at a time. Another person subsequently logging in to MedAbbrev.com with the same credentials will be prevented from doing so for a 15-minute window. Sharing credentials is not allowed, and if we detect too many abuses of the User License, we will contact you about this misuse. If the misuse continues your account may be canceled.

What is an Access Code?

An Access Code is a set of letters and numbers that allows a person to create an account with MedAbbrev.com that provides (usually) a 1 year access to the site. If you have purchased a book titled "Medical Abbreviations: ##### Conveniences at the Expense of Communication and Safety", there should be an Access Code printed on the inside front cover. You may also have received an Access Code from someone else who purchased it from MebAbbrev.com.

Note: if you purchase a used book or a book resold by a third-party, the Access Code printed in the book MAY NO LONGER BE VALID. It may have already been redeemed by another person.

An Access Code may only be used ONCE. Once the Access Code is redeemed it will no longer be valid. Access Codes may be purchased and given to other people to be redeemed at MedAbbrev.com/access-code.html.

For my Site License, Can my sites ("locations") have multiple IP addresses?

Yes. You can specify one or more locations. Each location may be associated with one or more IP (IPv4 or IPv6) addresses. In addition you can choose to limit the total number of concurrent users ("seats") by location.

For example: if you have three Locations and have licensed 24 "seats", you could split the seats up as; Location A: 10 seats, Location B: 8 seats, and Location C: 6 seats. This would allow up to 10 people to have concurrent access from the IP addresses associated with Location A, 8 people at B, and 6 people at C.

When an additional person tries to access the system or do a search, ie. an 11th person at Location A, that 11th person will see a messaging letting them know that they will have to wait 10 to 15 minutes to perform their search.

If this message appears too often, we recommend you increase the number of Seats by adding more Seats to your Site License or moving Seats from another Location.

How do I manage my Account?

Each Account will have at least one User (person) who is designated the Account Administrator. The Account Administrator must log in so we can verify that you have the rights to administer the Account. Even if you only have a Site License, you will still need a User who is designated as the Account Administrator.

There may be more than one User designated as an Account Administrator. Only an Account Administrator may designated another User as an Account Administrator. If there is only one Account Administrator in your Account. You may not remove that User or remove their designation unless/until another User is designated as an Account Administrator.

Account Administrators have permissions to add more Seats or Users, change payment methods, create Locations, and add/remove IP addresses to/from Locations.

When communicating with the MedAbbrev.com Customer Service Department, for some requests we will only communicate with an Account Administrator for security reasons.

Can I add to my Site Licenses later?

Yes. Additional Site License "seats" (people/users) may be added at any time. You will also be able to take advantage of the quantity pricing - new users are added to existing users when calculating the price. Your price will also reflect your current Premium pricing rate - based on the length of your current Subscription (2+ years).

The price for the additional Seats will also be prorated (reduced) to reflect the remaining time left in your current subscription period.

What can I do if my people keep seeing the "too many users" message? (Site License)

This likely means that you need to add more Seats to your Site License so that more people can access MedAbbrev.com at the same time. This will increase their productivity and remove the frustration of having to wait for access.

If you have multiple Locations set up (each with their own set of IP addresses) and you feel that one or more Locations have "extra" seats, ie. people in those Locations are not seeing the "too many users" message - you can move Seats from one Location to another. If you are not sure there are extra Seats in a Location, it is probably best to purchase additional Seats and assign them to the Location where the people are seeing the "too many users" message.

How do I reduce my costs?

MedAbbrev.com automatically applies price reductions for additional when Seats in a Site License and/or additional User Licenses are purchased. In addition to these reductions, there are price reductions for purchasing a longer subscription period (2+ years).

Also, if you have an existing Site License or User Licenses and add more, you will receive a prorated (reduced) price based on the amount of time you have left on your current subscription.

Will my Account/Subscription be automatically renewed?

To cancel the renewal of your Account. Log in to your Account (as an Account Administrator) and select the "Licenses" button. Then locate the subscription License in the list and select it to edit. In the edit area, indicate that you do not want it to automatically renew, then save your changes.
